Administration Management Services
Efficient administration and clear communication are crucial for the smooth functioning of any residential scheme. Our team will handle administrative tasks, including managing insurance policies,
maintaining records, and ensuring compliance with relevant regulations. We will also establish effective communication channels to keep residents informed about scheme-related matters and encourage their active participation and feedback.
As part of the management and the day-to-day administration of the Scheme, the following will form part of our services but not limited to:
- 4x Meetings per annum:
- Prepare and attend Annual General Meetings as well as Trustees meetings. This includes the drafting of the minutes of these meetings.
- Accounting:
- Prepare Annual Budgets to determine the monthly levies on behalf of the Trustees
- Prepare an Administrative Budget
- Prepare a Reserve Fund Budget (not compulsory for HOAs)
- Assist with the 10-year maintenance plan (not compulsory for HOAs)
- Administration of Employees, payroll, and payroll-related charges
- Keep proper books of account, including the monthly provision of a full set of financial reports to the Trustees, which is also available and live on our online WeConnectU web portal.
- Arrange the annual audit with the external Auditors
- Prepare Annual Budgets to determine the monthly levies on behalf of the Trustees
- Secretarial work:
- Submit relevant tax returns to the SA Revenue Service
- Annual submissions to CSOS and CIPC
- Annual amendment of Board of Trustees
- Other ad hoc legal compliance submissions as required
- Receipts and Creditor payments:
- Monthly billing and collection of levies
- Pay all contractual or ad-hoc payments as authorized by the Trustees
- Submit relevant tax returns to the SA Revenue Service
- Maintenance:
- Assist the Body Corporate in arranging for repairs for the maintenance of the common
property when requested to do so. - Assist the Body Corporate with its 10-year maintenance plan actions.
